Section 7: Directory Manager Functions

The Directory Manager's main purpose is to maintain the Directory by adding and deleting web pages and graphics files. She also assigns Page Managers to individual pages. The Directory Manager works with Page Managers to insure the Page Managers have all the resources they need. The needs of this position require the Directory Manager to be comfortable with computers and have a general understanding of how information is stored at the web site.

7.1: Create a New Page In This Directory

Before a Page Manager can do his job, a New Page must be added to a directory. Within the Manager Mode box, click on "Create a New Page" under the Directory Manager Functions. A new screen will appear with a blank for the title of the new page. The URL of the New Page is listed below the blank line.

Note: Do not add the .html extension to the file name. HCC does it for you automatically.

Naming conventions: The HCC Manager will not accept any name which contains a blank space between words. You may want to substitute hyphens or underlines between words.

Ex.: boy scouts could be entered as

boyscouts
BoyScouts
boy_scouts
boy-scouts
Names are also case sensitive. Once a name is entered, you must use that capitalization whenever you use that file name. Try to keep the length of any file name under 30 characters.

The new page can be initialized with the contents of any of the template documents listed on the page. To choose a template, simply click the button next to the template you wish to use.

After typing the name of the New Page and selecting the template, click the "Create a New Page" button. A new screen will appear informing you the web page has been successfully created. You are also given a link that will take you directly to the New Page. Go to the new page to immediately assign a Page Manager and/or to start editing the new page.

7.2: Delete a Page or Other File (jpg, gif, sound, etc.)

In the Manager Mode Box, click on "Delete a Page in this Directory." A screen will appear displaying the names of all the pages and other files in the directory on individual buttons. Click on the page/file you want to delete. Remember deleting the page/file completely deletes the page and its contents. A new screen will appear asking you to confirm your deletion. Click the delete button and another screen will appear informing you of your success. If you choose "Cancel," you will return to the web page.

Note: Because the "Delete a Page" Function displays all the files in the directory, it is a useful way to track down a page name. Instead of deleting an item, click the "Return To ___" in the Manager Mode box.

7.3: Create a Subdirectory

All directories are actually subdirectories of the main web site. Subdirectories can be nested within other directories as a way to keep the web site organized.

Under the Directory Manager Functions in the Manager Mode box, click on "Create a Subdirectory of/." A new screen will appear with a blank for the subdirectory's name. See the note in Section 7.1 regarding Naming Conventions. Unlike page names, subdirectory names may not contain capital letters.

After typing in the subdirectory's name, select the template with which you wish the subdirectory's default page to be initialized. The default page can be initialized with the contents of any of the template pages listed on the screen. To choose a template, simply click the button next to the template you wish to use.

Note: Each time a subdirectory is created, an index.html file is automatically created as well. The index.html file can be edited like any other page, but it serves a special purpose.When someone enters the URL for a directory, but does not enter a specific page name, the index.html page is accessed. It is the default page for every directory and subdirectory.

After selecting a name and template, click the "Create Subdirectory" button. A screen will appear informing you of the name of the new subdirectory and offering you a chance to go directly to it.

7.4: Delete a Subdirectory

Deleting a subdirectory is similar to deleting a page or file. Click on the "Delete a Subdirectory of/" under the Directory Manager Functions. A new screen will appear containing a list of all the subdirectories within the current directory in a button format. Click on the subdirectory you want to delete. In the new screen that appears click on either the "Delete" button to remove the subdirectory or the "Cancel" button to leave the Directory untouched. If you choose to delete the subdirectory, a new screen will appear telling you the deletion has been successful. If you choose to cancel, the screen will return to the web page.

WARNING: Deleting a directory completely removes the directory, all of its subdirectories, and all of the web pages in them.

7.5: Uploading a File

You will probably be required to upload a non-HCC file at some point. Most of the time it will be a graphics file, but it could be a sound file or a web page created by a program other than the HCC Manager. Graphics must be saved in either GIF or JPEG form and must also have the corresponding extension (.gif or .jpg). Additional information on extensions can be found in Appendix F.

To upload a graphic or other file onto the HCC web site, you must have Directory Manager privileges. Click the "Upload a Graphic, Sound, Page, etc." from the list of Page Manager Functions. A window will appear that requests information about the file you want to upload.

The next step is dependent upon the type of computer and software you are using. Note: The Internet Explorer browser version 3.x for Windows95 will not work with this portion of the HCC Manager Program. If you do not have access to Netscape Navigator at your current location, you may want to visit your local HCC affiliated library.

Instructions for Uploading a File Using Netscape on Windows 95

To select the file to upload, click on the on the "Browse" button. The standard File Upload screen will appear. Select the location of the file you want to upload. A list of files and folders should appear in the large window. You may have to select "All Files" from the "Files of Type" Menu at the bottom of the screen. Click on the file name you want to upload. It should appear in the "File Name" blank near the bottom of the screen. Click on "Open."

The file with its pathname should appear in the blank next to "File to Upload" blank on the HCC screen. You will need to rename the file in the second box (Name for file on server). Otherwise the file pathname will become part of the name of the file you are uploading. In other words, instead of uploading "photo.jpg", your file will be named "c:\temp\photo.jpg" (an invalid file name for a web graphic).

When you have given the file a new name, click the "Click Here to Upload File" button. The file will be saved to the web site.

A new window will appear in the web browser that contains the web address for the newly loaded graphic. Make a note of the address for insertion onto a web page. Click on the link to view the graphic and insure it is properly saved.

Note: Note the URL, especially if you are uploading a file for a Page Manager.

Instructions for Uploading a File Using Netscape on a Macintosh

To select the file to upload, click on the "Browse" button. The standard Macintosh "Open File" window will appear. Select the location where the file is saved (either from the hard drive or floppy drive), select the file you want to upload and click "OK". The name of file will then appear in the box next to the browse window in the HCC box. If you would would like to rename the file, you can do so in the second box, but this step is optional. Click on the "Click Here to Upload File" button. The HCC Manager Program will save the file to the web site.

A new window will appear in the web browser that contains the web address for the newly loaded graphic. Make a note of the address for insertion onto a web page. Click on the link to view the graphic and insure it is properly saved.

7.6: Assigning a Manager Access (Access Privileges)

Go to the web page for which you want to assign a Manager access privileges. From within the Manager Mode box, click on "Edit Page Manager List for/." A list of possible Managers will appear in a new screen. Select the box next to the name(s) of the Manager(s) to whom you are granting access privileges. When you have finished making your selection, click on the "Click Here to Save Changes" button.

A screen will then appear that lets you select the default or supervising manager. Select the default manager and press the "Click Here To Save Changes" button. A screen will appear telling you the update was successful.

Note: The default page manager's name and email address will be listed as the contact at the bottom of a page. If there is no default page manager, the default directory manager will be listed. If there is no default directory manager, the default site manager will be listed.

Note: If the Manager you wish to assign privileges to does not appear on the list, contact you Site Manager.

7.7: Remove a Manager's Access Privileges

To remove a Manager's access privileges for a page, that page must appear in the web browser's window. Enter the Manager Mode box and click on "Edit Page Manager List for/." The Manager List will appear. De-select the box next to the Manager to remove access. At this time you can also select a new manager from the list. Click the "Click Here to Save Changes" button.

Again, a screen will appear that lets you select the default manager. Select the default manager and press the "Click Here To Save Changes" button. A screen will appear telling you the update was successful.

Follow the same procedure to remove a Directory Manager's access privileges, but click on "Edit Directory Manager List for/" rather than Edit Page Manager List for/."
